Class Scheduling Refresh

This training is for staff that have already completed the class scheduling training and are looking for refresh reminders for the upcoming semesters. Refresh training is offered twice a year. An email invite is sent to current class schedulers to RSVP for these sessions.

Permission Numbers

Departments are able to generate and assign permission numbers to students to override class section permissions, requisites, and closed/waitlist status for student registration. Training is required prior to security being given. This training is for new users and a refresher for current users.

To schedule training on permission numbers, please contact Danielle Cobb at dpcobb@chapman.edu

Program Evaluations

For training on student program evaluations, please contact Patty Michelsen at pjorgens@chapman.edu.

Post Enrollment Requisite Checking (PERC)

Post Enrollment Requisite Checking (PERC) is a process that refreshes course requisites after registration so the department can determine eligibility. The department can indicate if a student is approved to take the course without completing the requisites or indicate that the student should be dropped. Training is required prior to security being given.

To schedule training on PERC, please contact Danielle Cobb at dpcobb@chapman.edu

Frequently Asked Questions

What is FERPA?

The Family Educational Rights and Privacy Act (FERPA) is federal legislation established to regulate access and maintenance of student educational records. All faculty are required to complete online FERPA training through Human Resources.

FERPA affords students certain rights over their education records, including the right to control disclosures of their records except to the extent that FERPA authorizes disclosure without consent. One of these exceptions is the release of directory information to parties outside the institution. Please see our dedicated FERPA page for more information.

Am I obligated to release student directory information to third parties?

No, while FERPA authorizes disclosure of student directory information without consent, you are not required to release this information.

Where can I access my class rosters?

The Faculty Center has the official class rosters and is the most up to date regarding student adds/drops.

Can I drop a student for non-attendance?

Yes, during the first two weeks of term, you may drop a student for not attending class via the Faculty Center class rosters. This will keep your rosters up to date and create space in the class if it is full.

How do students add my class if it’s closed or waitlisted?

Starting on the first day of term, students may submit a Permision Number Request to add closed or waitlisted classes. As the instructor, you will receive an email to approve or deny the request. Please see our Permission Number page for more information.

Why am I receiving Permission Number Requests when my class is open?

All classes require instructor consent during the second week of term. All students need to request a Permission Number during this period even if the class is open.

Where can I find grading and registration deadlines?

Please refer to the official academic calendars on the Academic Calendar page for all grading and registration related deadlines.
