A professor wants to hire me – what do I do?
Here is a quick overview of the hiring process. Most of these steps can be taken care of, online, without having to make an extra trip to the University:
- Send an email to Kelly Farano with the following information:
- Your name
- Your student ID number
- The position for which you have been hired (e.g. Research Assistant, Academic Fellow, etc.)
- The name of the professor that hired you
- Your current year (i.e. 1L, 2L or 3L)
- Your Chapman University email address
- Within a few days, you will receive an email with a link to the online application for your position. Once you have filled out the online application, email Kelly Farano to let her know that you are ready for new-hire paperwork.
- Complete your portion of the new-hire paperwork and then set up a time with Asiya Haksan to have her sign the employer representative’s portions of the forms.
- Take all completed paperwork and original documentation for the I-9 form to the Human Resources office (located on main campus in DeMille Hall Rooms 102 & 103) to finalize the hiring process.

Please note that you cannot begin to work until you have completed all steps in the hiring process.
Can I work in two different departments simultaneously?
Yes, Student employees may work in more than one department. The 19 hour work per week limit applies to the total hours worked from both departments.
Are there any other opportunities to work on campus?
Yes! Additional positions for both undergraduate and graduate students can be found on the University’s Human Resources/Employment Site.
All about Timesheets
- Where can I find extra copies of timesheets?
- Extra timesheets are available in the Dean’s Suite during regular office hours (8 a.m.-5 p.m. on Monday-Friday, excluding holidays) and are located at Asiya Haksan's desk. Feel free to come in and take as many as you need, at any time.
- Timesheets are also available to download online.
- When are timesheets due?
- Refer to the Payroll calendar for all turn-in dates.
- To whom do I turn in my timesheet?
- All timesheets should be turned in to Asiya Haksan in the Dean’s suite.
- What if timesheets are due on a day when I’m not at school?
- You can always turn your timesheet in early if you know you are going out of town, if you will not be working any more hours during the time period, etc.
- What are the timesheet rules?
- During the academic year, students cannot work more than 19 hours in a week total.
- This is true even if you have multiple jobs!
- Please do not work for more than five hours without taking a one hour lunch break.
- Please do not work consecutively for seven days.
- Please do not work on University holidays.

All about Paychecks
- Where do I pick up my paycheck?
- Paychecks are available for pickup each payday at the Cashier’s Office in Bathal Hall
(located just behind the law school). Bring your Student ID with you to receive your
check.
- If paychecks are not picked up within five business days, they will be placed in outgoing mail and sent to the address on file with the University.

- When do I get paid?
- Please refer to the Payroll Calendar for pay dates.
- Is Direct Deposit available?
- Yes! To enroll in direct deposit, fill out the Direct Deposit Form and attach a voided check. Return both the form and the voided check to the Payroll Office.
- How long does it take for Direct Deposit to become activated?
- After the Payroll Office has received the form, it generally becomes active immediately after Payroll has processed the request.
- When are funds from Direct Deposit available?
- Direct Deposit funds are usually available by 8 a.m. on payday.
- What if my paycheck is missing?
- Contact Kelly Farano as soon as possible and she will track down your missing paycheck.
- Who do I need to notify if I move, change my last name, etc.?
- Contact Kelly Farano with your updated information and she will forward it to the appropriate persons at the University.
